Freshsales, now sold as the Freshsales Suite, follows the Freshworks pattern. One login, many products, an attractive bundle price. Teams sign up for the CRM and inherit chat widgets, marketing journeys and a built-in phone they half configure.

The exit conversation usually starts with focus. The sales team wants a pipeline tool that does one job well. Reporting in Freshsales bends toward the suite, upgrades move features between plans, and admins spend their time finding settings rather than changing them.

Before you commit, list what the suite quietly does for you. A chat widget on the website, a welcome journey, a phone number. Each needs a new home or a deliberate shutdown. Missing one is how migrations produce surprise gaps in week two.

What carries over and what does not

Contacts, accounts and deals export cleanly as CSV, custom fields included. Notes, tasks, appointments and call logs are reachable through the API and import as Pipedrive notes and activities. Files can be downloaded and re-attached to the records that matter.

The computed and configured layers stay behind. Freddy AI scores, workflows, sales sequences, territories, lifecycle stages and marketing journeys do not transfer. Email history synced from your mailboxes rebuilds in Pipedrive once each user reconnects, so the threads survive even though the Freshsales copies stay put.

Pitfalls specific to Freshsales

The CSV export is not the whole account. It covers the main modules, but notes, call logs and task history need the API. Teams that discover this after cancelling lose the relationship history. Confirm the API pull works while the subscription is healthy.

Custom fields export under internal names like cf_custom_field_12 in some paths. Build a translation table from the admin field list before mapping, or you will guess, and one wrong guess sends ten thousand values into the wrong column.

Suite entanglement is the structural pitfall. If marketing journeys send your nurture mail, switching off Freshsales silently stops those sends. Inventory active journeys, chat widgets and web forms, and give each a successor before cutover. The same applies to the built-in phone, where number porting sets its own timeline.

5. Import in order and reconnect

Organizations, people, deals, then activities and notes. Every user reconnects their mailbox and calendar on day one.

6. Land the replacements

Switch web forms, chat and nurture flows to their new homes, then cancel Freshsales after one clean month.

Timeline and cost band

Three to five weeks and €4,000 to €10,000 with a partner is the normal band. Marketing journey replacement can add a separate small project. Questions

Can we export everything from Freshsales ourselves?

Contacts, accounts and deals export as CSV per module from the admin settings. Notes, tasks and call logs need the API. Plan the API pull early, because those records carry the relationship history.

What happens to Freddy AI scores and insights?

They stay behind, and that is fine. Scores are computed, not source data. Pipedrive builds its own signals from fresh activity. Do not spend migration budget preserving a number the new system will recompute.

Do our Freshsales sales sequences transfer?

No. Sequences and their enrolment history stay in Freshsales. Copy the email templates out first, then rebuild the flows in Pipedrive Campaigns or automations once the team has settled in.

How do Freshsales lifecycle stages map to Pipedrive?

Pipedrive has no lifecycle stage on contacts. Qualification lives in the Leads inbox and progress lives in the pipeline. Most teams keep the old lifecycle value in a person field for reporting during the first quarter.

How long does a Freshsales to Pipedrive migration take?
